Step One:
Audit Your Email Account And Fix Any Issues

First, you’ll want to uncover and address any pre-existing account health issues you may be (unknowingly) dealing with. There are two big problems that impact deliverability and are likely responsible for low click and open rates:

1. DOMAIN AUTHENTICATION

Without proper domain authentication, your sender reputation can easily take a big hit. There’s a high chance that your emails will get filtered as spam, or just straight-up rejected.

Authentication verifies that any emails you send are actually from your domain. While the specific steps vary between email service providers (ESP), here are some common authentication methods to set up:

  • SPF (Sender Policy Framework):
    This prevents spammers from sending messages on behalf of your domain.
  • DKIM (DomainKeys Identified Mail):
    This adds a digital signature to your emails, proving they haven’t been tampered with.
  • DMARC (Domain-based Message Authentication, Reporting & Conformance):
    Ensures that unauthorized emails are blocked or quarantined.

2. EMAIL VERIFICATION

Make sure that any email addresses you send from are:

Actively monitored: Addresses that are NOT actively monitored are more likely to have their emails filtered as spam to avoid cluttering your recipients’ inboxes.

  • Avoid abandoned or no-reply emails
    Use an email that someone checks regularly to ensure replies and interactions aren’t missed.
  • Set up forwarding
    if you have multiple addresses (e.g., for support or general inquiries), configure email forwarding so that all messages reach the right person quickly.
  • Create a specific inbox for transactional vs. marketing emails
    Use different addresses for customer support, order confirmations, and marketing to ensure all emails are properly handled.
Professionally formatted

Your email address is one of the first impressions recipients will have of your business, so make sure it looks professional and trustworthy.

Avoid free email domains

Always send from a branded domain to establish professionalism (e.g., “name@yourdomain.com”). Many ESPs flag free email domains as less trustworthy.

Use clear and personalized addresses

 A name or department-based email (e.g., “support@yourdomain.com”) builds credibility and trust, while generic addresses like “no-reply@yourdomain.com” can harm engagement.

Enable display names

Instead of just showing an email address, ensure your ESP allows you to set a display name (e.g., “Ryan from Upsender”) to make your emails more recognizable and approachable.

These  issues can cause big deliverability problems, and often go unnoticed.

But they’re a simple fix. It’s important that you do this first to ensure that they aren’t going to hamper you down the road and make the next three steps go to waste.

Step Two:
Analyze And Improve Deliverability

Next, you want to look at deliverability. A good way to analyze it is through your open rates. I use 20% as a measure of where my clients’ deliverability is at.

If your open rates are AT or ABOVE 20%:

You’re generally in a pretty good spot. You may have room for improvement, but it’s usually nothing too critical. 

If your open rates are BELOW 20%:

This is a pretty surefire sign you have an underlying issue. I find with my clients that this is typically the result of low domain or IP reputation.

I handle this in three steps:

  1. Build some tight segments of your most engaged subscribers
  2. Send them high-quality content
  3. Repeat until your reputation on Postmaster is in a better position

 

Here’s what I was able to do with this technique for one of my clients:

In just a matter of weeks, I turned their domain reputation on its head, giving their business a major upturn in their open rates.

And when your open rates go up, so does your revenue – just like it did for this client:

Step Three:
Enhance Your Email Strategy

Now we can get into the meaty stuff. You want to make sure your email strategy is effective at maximizing engagement and driving conversion. 

There’s many moving parts in an email strategy, so I’ll walk you through the key areas I like to focus on with my clients:

  • Check and improve all automations and sequences: These are powerful tools for subscriber engagement, BUT they need to be reviewed and optimized regularly. Analyze the performance data of all your existing email flows and tweak timing, content, and offers accordingly. 

 

For example, one of my clients needed their abandoned cart sequence updated. Here’s what I built out for them:

 

  • Build the right segments for daily broadcasts:
    Segmenting drives much higher revenue and open rates (just like our reputation strategy in Step 2) than non-segmented campaigns. It’s a technique you should be deploying daily.

 

  • Create more compelling emails for your internal offers:
    Make sure your email copy, CTAs, and the content itself are relevant to your audience and provide value that they actually want.

 

  • Send only THE BEST affiliate offers:
    Many of my clients have come to me with a shallow bench of affiliate offers to choose from. They don’t know what’s converting well right now. That’s where having a deep bench of affiliate offers is crucial. You can then pick and choose only the best ones to send based on what the list wants.

 

  • Test emails to make sure they inbox:
    Even after completing steps one and two, you may find that some emails still go to spam due to certain subject lines or email copy.

 

  • Reactivate dormant subscribers:
    Dormant subscribers are another factor that can drag down your reputation and impact deliverability. It’s worth running a small re-engagement campaign with exclusive content to bring them back.
Step Four:
Track Your Results And Optimize Accordingly

The final step is to regularly monitor your metrics, and adjust your email strategy based on the behavior of your subscribers.

You’ll want to start by establishing some clear benchmarks for:
  • Which metrics you want to track, and
  • What results you’d like to see.

There are some basic thresholds you’ll want to meet – for example, like we touched on earlier, you want to keep your open rates above 20%.

But most of the KPIs you set will be unique to your business and your current situation.

For example, what percentage of your revenue do you want to come from internal sales vs affiliate commissions? The answer will vary depending on your specific circumstances.

  • The second part of this step is organization

Keep a close eye on how your subscribers are responding to your emails, and be sure to hold their behavior up to your KPIs.

You may be hitting (or even surpassing) your targets with some segments of your list, while declining with others. Trace those declines back to your strategy to pinpoint exactly what needs to change.

From there, it’s a pretty basic principle: do more of what works, and tweak what doesn’t.
